OUR PROCESS
1. Upon being contacted about a new client it gets assigned and we immediately start gathering all of the information required in order to move forward with processing the claim in as expedient a manner as possible. This process can and usually does include talking to the claim representative, the local and current on site case managers, members of the rehabilitation facility staff, family members and the client themselves if they are healthy enough and capable of doing so. We also obtain a basic set of medical records that span from the initial admission papers at the hospital to current team reports and discharge papers if that process has already taken place. All of this serves as a solid foundation from which we can move forward to best serve the client’s needs.
2. Due to the catastrophic injury level that most of our clients have experienced a site visit to properly analyze and review the property in question is usually required. This is set up and accomplished as quickly as all of the schedules of the members of the team and the family can be assembled at the property so it can be reviewed first hand. All of the site visits are conducted by our president, Chris Lynch who with more than 45 years of experience in the construction and design business along with more than 34 years as a wheelchair user brings a unique prospective and understanding to what needs to be accomplished to provide the best results.
3. After returning from the site visit all of the gathered information is merged with the previously obtained material and a full report package is prepared. This package contains a report outlining the client’s condition, a detailed explanation of the clients current living condition, a description of the property and house along with a detailed analysis of what we are recommending be implemented to best meet the client’s needs. This in conjunction with a preliminary set of blueprints, a detailed projected estimate of what it will cost to implement the project and see it to its fruition and a full photo catalog of the property are sent to you so that you may review it and in conjunction with further conversations with our office decide on the best course of action you and your client want to pursue.
4. Once the full scope of work has been determined and approved architecturally sealed construction blueprints will be drawn and these will be used to bid the project to local, qualified, insured and properly licensed contractors who are independent of our firm. This eliminates any conflict of interest that can be present in other firms that propose a scope of work to you, utilize their own in house construction crews or franchise building companies and then oversee approving payments on the work they are performing. Instead we are able to get you multiple bids by local qualified builders so there is complete transparency and you can be assured that all of the work a payment covers is complete and approved by us before a payment request is sent to you.
5. Once you have selected your contractor we oversee the preparation of the contract by the contractor to assure that it contains all of the elements specified in the plans and the scope of work prior to releasing it to you for your own internal review and approval.
6. Upon receiving approval from you to move forward we immediately engage and assist the contractor in obtaining building permits and starting construction in as short a time frame as possible. One of the elements of the contract is a time framed stipulating the amount of time the job will take. We oversee your project on a weekly basis and provide updates to you showing the progress that is being made as well as what the projected work will be so that you may properly and efficiently put in place the elements and timing that will be necessary to discharge your patient to their new modified environment.
7. The final stage in the process is a return visit to the job site by Chris to assure that all of the work has been done per the plans and that the quality of work is up to the standards set and demanded by ATB and that meet the family’s approval. At that final site visit we present the family with a sign off agreement assuring that they are satisfied with the work prior to submitting a final payment request to you that you will issue to the contractor signaling the completion of the home modification home process.
